Corporate Holiday Party Transportation in Dallas: A Planning Guide
The short version: reserve transportation when you book the venue, plan the ride home before you plan the ride in, and send your car service one guest list with times. Companies that do those three things in October don't scramble in December.
Most holiday parties are still happening. In Challenger, Gray & Christmas's 2024 survey, 64% of companies planned a holiday party, the same rate as the year before. In Dallas–Fort Worth that means the same Friday and Saturday nights in December are wanted by hundreds of companies, and the chauffeured vehicles on those nights are booked the same way the ballrooms are: early.
Here is how we would plan it if we were on your side of the table.
1. Reserve transportation when you reserve the venue
Venue, date and transportation should be one decision. The first two Saturdays in December and the Fridays before them are usually the first nights to fill for car services, the same as for restaurants and hotel ballrooms.
What to do now: Once you have a date and a venue, send your provider the date, the venue address and an estimated guest count. A hold costs nothing to ask for, and the details can change later.
2. Plan the ride home first
The ride to a holiday party is easy; guests arrive across an hour or two. The ride home is the part that matters. TxDOT counted more than 2,000 drunk-driving crashes in Texas during the 2024 holiday season, and December had the most of any month.
That is why many companies now treat transportation as part of the party rather than an extra. Three common approaches:
Executives and VIP guests only. A chauffeur for leadership, honorees and visiting clients, from their door to the venue and back.
Scheduled departures. Two or three SUVs make return runs at set times, for example 9:30, 10:30 and 11:30 p.m., to the main neighborhoods where staff live.
On-call vehicles. Vehicles on hourly service stay at the venue for the last part of the evening and take guests home as they leave.
Most companies combine the first with one of the other two.
3. Match the vehicle to the guest
Who Vehicle Why
CEO, honoree, or keynote speaker BMW 7 Series or Mercedes-Maybach One or two passengers, a quiet cabin before speaking.
Leadership team or a couple of clients Cadillac Escalade or GMC Yukon Denali Up to six passengers, room for coats and gifts.
Staff rides home Several SUVs on hourly service Repeat runs without rebooking
4. Send one list, not twenty texts
The single biggest cause of confusion on a party night is information arriving in pieces. Send your provider one document a week before the event with:
Event date, venue address and the venue's pickup point
Arrival window and planned end time
VIP names, pickup addresses and mobile numbers
Departure times or the on-call window
One contact who can approve changes that night
Our executive assistant travel resources show what we send coordinators back and when.
5. Ask the venue three questions
Where can vehicles wait? Hotels and restaurants with valet usually have a set staging area. Ask before the night, not at 10 p.m.
Is there more than one event that night? In December, ballrooms often host several parties at once, and the curb gets crowded.
When must the room be clear? That sets the last departure.
6. Know the policies before the night
Ask your provider about cancellation, waiting time, added hours, and gratuity, and get them in writing. Party end times move; you want to know in advance what an extra hour costs. Ours are on our safety and policy page.

Frequently asked questions
How far in advance should we book holiday party transportation in Dallas? As soon as the venue and date are set. For December Fridays and Saturdays, late October or early November is not too early.
Can a chauffeur wait at the venue during the party? Yes. With hourly service, the chauffeur and vehicle stay with you for the reserved time and leave when your guests do. Minimums may apply.
Can you take different guests home to different parts of Dallas–Fort Worth? Yes. Scheduled departures can be grouped by area, for example, Plano and Frisco in one vehicle and Uptown and Highland Park in another.
Do you provide limousines for holiday parties? Our fleet is executive sedans, luxury SUVs, and specialty cars such as the Rolls-Royce Ghost and Mercedes-Maybach, rather than stretch limousines.
